Our professional services extend across the full spectrum of property management. Strict industry standards must be adhered to and we list a summary of these duties performed.
ACCOUNTING
- establish and operate a bank account(s) in the name of the Owners Corporation or a trust account for the Owners Corporation;
- keep books of account covering all income and expenditure and assets and liabilities of the Owners Corporation;
- prepare annual financial statements of all income and expenditure and assets and liabilities of the Owners Corporation (the annual accounts);
- issue notices for fees set and special fees levied by the Owners Corporation ;
- pay invoices and insurance premiums on behalf of the Owners Corporation (provided reasonable funds are held by the Owners Corporation);
- reconciliation of bank account.
INSURANCE
- arrange insurance or renewal only with or through the authorising licensees listed in the Reference Schedule in accordance with the authority(ies) to provide insurance services listed in the Reference Schedule, unless the Manager or the Manager’s employer holds its own Australian Financial Services Licence covering the provision of the services;
- arrange a valuation of the cost of reinstatement and replacement of the Building/s when requested and when required for a 'Presribed' Owners Corporation
- prepare and lodge routine insurance claims with insurers/brokers (max. 15 minutes);
- provide any other insurance service in respect of insurance products offered through the authorising licensees as listed in the Reference Schedule, or as otherwise authorised by the Australian Financial Services Licence held by the Manager, or the Manager’s employer.
DOCUMENTATION
- maintain roll of owners names and addresses;
- issue all Owners Corporation Certificates and answer reasonable enquiries at the cost of the applicant/enquirer ;
- deal with routine inwards and outward correspondence;
- keep and supervise the use of the common seal;
- keep the records of the Owners Corporation including minutes and postal ballots;
ANNUAL GENERAL MEETING
- attend Annual General meetings held during office hours at the Manager’s Office or at another place agreed between the Owners Corporation and the Manager;
- convene, attend, submit a budget and financial statement to and record minutes of the Annual General Meeting;
- submit a report of the Managers activities to each Annual General Meeting;
- meetings exceeding one (1) hours duration will be charged at the hourly rate for services set out in Schedule 3;
- any meeting held outside the Managers office will attract a fee for travel time as set out in Schedule 3;
MAINTENANCE
- Arrange for routine and minor (less than $1,000-00) repairs and maintenance of Owners Corporation property
ADVICE
- Provide general advice to the Owners Corporation as to meeting procedures and the Regulations and as may otherwise be required for the Owners Corporation to carry out and perform its duties and functions under the Act and the Regulations.
ADDITIONAL SERVICES AVAILABLE
- Prepare Owners Corporation Additional Rules (If Required)
- Prepare Owners Corporation Certificates prior to when Members have sold their Units
- Prepare list of Common Defects by Qualified Building Practitioner
- Advise all contractors of Owners Corporation requirements
- Assist members Solicitors with settlement if asked to do so by the member
- Organise hand over of all services to Owners Corporation
- Ensure all Essential Services are properly Commissioned and transferred over
- Advise on Waste management systems and collection arrangements
- Ensure all OH&S issues are undertaken and in compliance with the Law
- Appoint cleaning contracts for on going maintenance (If required)
- Negotiate discounted power supply contracts with savings passed on to members
- Arrange periodic reports such as:
- Safety Site Inspection Reports;
- Insurance Reinstatement Valuations;
- Maintenance Reports.
- Arrange any major maintenance/repair/replacement of property ($1,000 or greater) if required;
- Debt recovery procedures;
- Other direct Owners Corporation matters as per individual Owners Corporation Management Agreements.
